Overview of UW Strategic Administrative Projects

March 2007

There are seven SAPs (Strategic Administrative Projects) underway at the University. These are significant in scope, campus impact, or strategic University relevance. They do not represent all projects in progress. This is an early overview; some timelines and budgets are incomplete. Furthermore, the timelines and priority of these projects are currently being reassessed.

Automated Travel System

The implementation of the PeopleSoft Expense Management module for the management of travel expenses for the Madison campus
Phase I (Rollout to Pilot group) – Production ready Jan 2008
Phase II (Incremental rollout to all campus units) Starts in Spring 2008

Effort

Implementation of a purchased software package, ECRT, used for the certification of effort (time) spent on grants for the Madison, Milwaukee and Extension campuses

Phase II March 2007 – March 2008

Grants.Gov

Implementation of purchased software, from the vendor Cayuse, to assist the faculty in submission of grants (NIH) to the federal government

Grants

Implementation of five PeopleSoft modules (Grants, Projects, Contracts, Accounts Receivable, and Billing) for the purpose of managing sponsored gifts and grants for the Madison, Milwaukee and Extension campuses
July 2006 – April 2008

LAST

The Legacy Accounting to SFS Transition project is the implementation of the Madison campus legacy accounting business processes into the Shared Financial System. LAST consists of multiple projects.
August 2006 – December 2008

Shared Financial System (SFS)

The SFS upgrade to release 8.9 was completed in mid-March, 2007.

3 new campuses (Stout, Stevens Point, EauClaire) will begin using SFS in July 2007.

Integrated testing for the 2008 Program Release which includes moving Grants, Travel, LAST, and related SIPs into the production environment will begin after Fiscal year-end closing.

Supply Chain

The integration of the Madison Purchasing Classic System to the Shared Financial System for the purpose of getting Purchase Orders into PeopleSoft
